Introduction

Innovatism LLC ("Company," "we," "us," or "our") describes how information is processed when using our Services, including the ChatInbox application and related services.

Pure Client Approach

ChatInbox operates as a pure client application with these characteristics:

  • Your emails and credentials stay on your own devices and with your email provider
  • Passwords and access tokens are never transmitted to company servers; our push service receives only what it needs to wake your device (see Third-Party Services)
  • Your mail leaves your device only to your email provider, and to Apple's Private Cloud Compute when you choose it for AI features
  • Only the user accesses their own data
  • The app does not track, analyze, or monetize communications

iCloud Sync

Optional app data syncs through your own Apple iCloud account: tags (with the subject, sender and date of each tagged email), groups, to-dos and reminders, mail rules, blocked and approved senders, notification exceptions, and your account settings without passwords. These items remain in your personal iCloud account, inaccessible to the company.

The company commits to:

  • Obtaining consent before transferring data internationally

Google User Data

  • Permission requests come from ChatInbox App
  • Access credentials remain confidential
  • Users can revoke access through Gmail security settings
  • Data is used solely to enable ChatInbox features with Gmail
  • No use for advertising, surveillance, or third-party distribution
  • Limited human access except for security purposes with consent

Microsoft User Data

Similar protections apply for Microsoft/Outlook accounts:

  • Confidential credential handling
  • Revocation available through Microsoft account settings
  • Data used exclusively for ChatInbox functionality
  • No advertising or third-party distribution
  • Restricted human access except for security with consent

IMAP User Data

For IMAP-connected accounts:

  • Credentials stored with industry-standard encryption
  • Access limited to minimum required functionality
  • Users can revoke access by deleting accounts
  • Data used solely for email client features
  • No advertising, third-party sharing, or surveillance use
  • Restricted human access except for security purposes

Children's Privacy

ChatInbox is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us and we will take steps to delete such information.

Data Retention

ChatInbox stores your email and app data on your device. We do not retain your email on our servers. Our push service keeps a device's push token, with your email address or a keyed hash of it, until the device or account is removed. Data on your device persists until you remove the account or delete the app.

Widgets and Background Activity on the Mac

ChatInbox’s widgets are drawn by a small helper that macOS starts on its own, so they stay current after you quit ChatInbox. The helper reads only a snapshot ChatInbox saved on your Mac. It never connects to your mail server and sends nothing anywhere.

macOS lists this helper in System Settings › General › Login Items under Background App Activity. You can turn it off there; the widgets then stop updating and ChatInbox itself is unaffected.

If ChatInbox appears there more than once, you have more than one copy of the app on your Mac, for example an App Store copy and a TestFlight copy. macOS lists each copy separately.

Third-Party Services

ChatInbox interacts with the following services to provide its features:

  • Email providers (Gmail, Outlook, Yahoo, AOL, Zoho, iCloud, IMAP) — to send, receive, and manage your email via their standard APIs and protocols
  • Apple iCloud — optional sync of app settings (tags, groups, to-dos) across your devices
  • Apple Push Notification Service and our push service (hosted on Google Cloud) — to tell your device that new email is waiting. It receives your device's push token and your email address or a keyed hash of it; never a password, never your mail
  • Apple Private Cloud Compute — only if you choose it, to run AI features on emails too large for your device; Apple keeps nothing
  • Picture hosts, Google and company websites — when an email's pictures load (tracking pixels are removed first), and to show a company's logo: Google's icon service first, then the company's own website. A logo request names only the company's web domain, never an email address. Company logos can be turned off in Settings › Privacy › Sender Pictures
  • Gravatar (Automattic) — on by default, to look up a sender's photo from a hash of their address, never the address itself. It can be turned off in Settings › Privacy › Sender Pictures
  • Unsplash — only when you search it for a profile picture

We do not integrate any third-party analytics, advertising, or tracking services.

Your Rights

Depending on your jurisdiction (including under GDPR and CCPA), you may have the following rights:

  • Access — request confirmation of what data we process (which is none on our servers)
  • Deletion — delete all local data by removing your accounts or uninstalling the app
  • Portability — your email data remains with your email provider and is always accessible
  • Opt-out — revoke email provider access at any time through your provider's security settings
  • Non-discrimination — we will not treat you differently for exercising your privacy rights

Cookies & Analytics

ChatInbox does not use analytics or tracking technologies and contains no telemetry. We do not collect usage data or behavioral analytics. The requests the app makes for pictures in emails and for company logos carry no cookies.

Google API Services Limited Use Disclosure

ChatInbox's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only use Google user data to provide and improve email functionality within ChatInbox
  • We do not transfer Google user data to third parties except as necessary to provide the service, comply with law, or with explicit user consent
  • We do not use Google user data for advertising purposes
  • Human access to Google user data is limited to security purposes, compliance with law, or with the user's explicit consent

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the updated policy on this page with a revised "Last updated" date. Your continued use of ChatInbox after changes are posted constitutes acceptance of the updated policy.
